Participant


Introduction

The Participant Feature in Milexco simplifies managing participant data, including their transit and billeting details. It ensures coordinators can access all relevant participant information, offering a seamless and organised experience.

Key Features

  1. Participant CRUD Operations:

    • Create, view, update, and delete participants.
    • Soft delete functionality ensures data can be restored if needed.
  2. Transit Information:

    • Record arrival, departure, and location details.
    • Easily access transit data from the participant's profile.
    • Remove and restore transit information directly from the Transit Information tab on the Participant View Page.
  3. Billeting Information:

    • Manage accommodations, check-ins, and check-outs.
    • View billeting data directly from the participant's profile.
    • Remove and restore billeting information directly from the Billeting Information tab on the Participant View Page.

Managing Participants Data

Viewing Participants

  1. Accessing the Participant List:

    • Navigate to the Participants tab in the left-hand menu.
    • The participant list displays 10 entries per page by default.
  2. Adjusting Pagination:

    • At the bottom of the table, use the dropdown menu to increase the number of participants displayed per page (up to 50).
  3. Using the Search Bar:

    • The search bar lets you quickly find participants by name or other attributes. it is located at the top-left of the table that lists the participants.
  4. Applying Filters:

    • Click the funnel icon above the search bar to reveal filters. These allow you to narrow your search by specific criteria, such as assignment, designation, organisation or country.
  5. Viewing Participant Details:

    • Click on the table row of a participant or click the ellipsis menu on the left of the participant row to select * *View** for complete details of the participant.
  6. Accessing Additional Participant Management Features

    • On the Participant List page, two essential management features are conveniently accessible from the top-right corner:
      • Add Participant Button: This button navigates you to the form for creating a new participant. Fill in the required fields to add their details to the exercise.
      • Send Invitations Button: This button leads to the page where you can invite participants via email. From here, you can send personalised invitations to one or multiple invitees, giving them direct access to the exercise platform upon registration.

Adding a Participant

  1. Click the New Participant button on the Participant List page to navigate to the Add Participant form.

  2. Fill in all required fields, including personal and exercise-specific details.

  3. Click Save. Once saved, you'll be redirected to the participant's detailed view page.

{info} Upon redirection, you can add Transit and Billeting details for the participant, if required.

Adding Transit Information

  1. An Add Transit Information button will be visible on the Participant View Page if no transit information exists. Transit Information can also be added via the Transit Section. For more details, visit here.

  2. Click the Add Transit Information button to open the form in a slide-over modal.

  3. Fill out the required fields based on the available information, including arrival and/or departure details.

  4. Click Save to store the transit information.

  5. After saving, you will be redirected to the Transit Information Tab on the Participant View Page, where the details will be displayed.

Removing and Restoring Transit Information

  1. If transit data exists, you can Remove Transit Information from the Transit Information Tab or the * *Participant View Page by selecting the Remove** option and confirming the action.

    {info} This performs a soft delete, allowing you to restore the data later if needed.

  2. If transit data has been removed (soft deleted), a Restore Transit Information button will appear. Click it to restore previously removed transit records, making them visible again on the participant's profile.

Adding Billeting Information

  1. If no billeting information exists, an Add Billeting Information button will be available on the Participant View Page. Billeting information can also be added via the Billeting Section. For more details, visit here.

  2. Click the Add Billeting Information button to open the form in a slide-over modal.

  3. Fill out the required fields, including accommodation details and other necessary information.

  4. Click Save to store the billeting information.

  5. After saving, you will be redirected to the Billeting Information Tab on the Participant View Page, where the details will be displayed.

{info} Once transit and billeting information have been added, their respective tabs will automatically appear on the participant view page, allowing you to access and review the details easily.

Removing and Restoring Billeting Information

  1. If billeting data exists, you can Remove Billeting Information from the Billeting Information Tab or the * *Participant View Page by selecting the Remove** option and confirming the action.

    {info} This also performs a soft delete, keeping records recoverable if needed.

  2. If billeting data has been removed (soft deleted), a Restore Billeting Information button will appear. Click it to restore previously removed billeting records, returning them to the participant's profile.

Editing a Participant

  1. Click the ellipsis menu in the Participant List, select Edit, or use the Edit Participant button on the participant's view page.

  2. Modify the necessary fields and click Save to apply changes.

Deleting a Participant

  1. Soft Delete a Participant:

    • Use the ellipsis menu to select Delete.
    • Confirm the deletion via the modal to proceed.
  2. Force Delete:

    • Reserved for administrators, this action permanently removes the participant and related data (e.g., transit and billeting).
  3. Restoring a Participant:

    • The Restore action can restore soft-deleted participants, preserving all associated data.

Troubleshooting

  1. Missing Tabs:

    • Ensure transit and billeting data are saved correctly.
  2. Data Not Saving:

    • Verify all required fields are completed before submission.
  3. Removed Data:

    • Check if the data was soft deleted. Use the Restore action to recover it if necessary.
